Magic Receptionist

Implementation guide · Use case 1

Rollover when your front desk is busy

Keep your existing business line and use configured overflow forwarding when your team cannot take a call. Eligible busy or unanswered calls can reach Magic Receptionist instead of voicemail, based on the carrier and workflow you enable.

Why this works

Overflow routing gives callers another configured path when your team is unavailable. It can be useful when you want the receptionist to collect approved caller context instead of sending the call directly to voicemail.

How it's wired

  1. Confirm the business number, carrier or phone system, and the conditions that should trigger overflow.
  2. Confirm the Magic Receptionist destination and workflow available for your plan and setup.
  3. Enable the carrier-specific busy or no-answer forwarding rule using your carrier's current instructions or support channel.
  4. Test the exact condition you intend to use before relying on the routing in production.
  5. Confirm that the call record and any configured notifications appear as expected.

Validation

  1. Place a test call while the configured busy or no-answer condition is present.
  2. Confirm the receptionist receives the call and stays within the approved intake and routing workflow.
  3. Confirm the call record and the notifications or reporting enabled for your account are available after the test.

Common adjustments

  • Known callers: If your configured workflow supports caller-specific routing, decide which callers should stay with a human path.
  • Ring timing: Adjust the carrier or phone-system timing based on how long your team should have to answer before overflow begins.
  • Dedicated lines: Define any partner, adjuster, or specialty-line exceptions during setup instead of assuming every inbound number should follow the same rule.

When to escalate

If overflow becomes a regular share of inbound calls, review your coverage hours and plan capacity so rollover stays a backup instead of becoming your primary answering path.
